Hire another employee or automate the work? A cost comparison for UAE businesses
The question behind most new hires
"We need another person" usually means "the current team has no time left". Before you hire, find out where that time went. If a large part of it goes on typing the same replies, copying data and chasing people, you are about to pay a full salary for work a system could do.
The full cost of a new hire in the UAE
The salary is only the visible part. A realistic first year includes:
- Salary and allowances for twelve months.
- Visa, work permit and Emirates ID costs, which vary by emirate, free zone and job.
- Health insurance. Employer funded basic health insurance became mandatory for private sector employees across all emirates on 1 January 2025, and it is needed to issue or renew residency.
- End of service gratuity. Under Federal Decree Law No. 33 of 2021, non UAE nationals earn 21 days of basic salary for each of the first five years and 30 days for each year after that, once they have a year of continuous service, capped at two years' total salary. You accrue this every month.
- Recruitment, equipment and software licences.
- Training and management time, often the most underestimated cost.
A worked example
Example only. Every figure below is an assumption; use your own quotes. An admin hire with a package of AED 6,000 a month, of which AED 4,000 is basic salary.
| Cost line | Calculation | Year one |
|---|---|---|
| Salary and allowances | 6,000 × 12 | AED 72,000 |
| Gratuity accrual | 4,000 × 12 ÷ 365 × 21 | About AED 2,760 |
| Visa, permit and insurance | Assumed, get real quotes | AED 6,000 |
| Equipment and software | Assumed | AED 3,000 |
| Total | About AED 83,760 |
That excludes recruitment fees and the weeks of management time it takes to train someone.
What automating the same workload costs
Suppose the audit shows the extra load is 15 hours a week of repeat tasks spread across two existing people. Automating their repeat work at Scaldora's starting price is 2 × AED 999, plus any software subscriptions the setup needs. Even if automation removes only part of the 15 hours, you have bought back time for a small fraction of a salary, and you can measure the result within weeks.
The catch: automation does not remove judgement, relationships or physical work. If the new workload is mostly those, automation will not replace the hire.
A simple decision table
| Signal | Points to hiring | Points to automating first |
|---|---|---|
| Type of work | Selling, negotiation, advice, relationships | Typing, copying, chasing, reporting |
| How the work repeats | Every case is different | The same steps every time |
| Where the time goes | Customer facing work | Admin around the customer facing work |
| Growth | Demand for skilled work is growing | Volume of the same tasks is growing |
Three steps before you hire
- Audit. Run the one week time audit on the people who say they are overloaded.
- Split the load. Separate repeat tasks from judgement work, in hours.
- Automate the repeat share, then measure again after 60 days. If the team is still overloaded, hire, and hire for the judgement work only.

Questions people ask
Is it cheaper to automate than to hire in the UAE?
For repetitive work with clear rules, usually yes, because automation is mostly a one time cost while a hire is a yearly cost with UAE employment obligations on top of salary. For judgement and relationship work, automation is not a substitute.
What does an employee cost in the UAE beyond salary?
Typical extras include visa, work permit and Emirates ID costs, mandatory employer funded health insurance, end of service gratuity accrual, equipment, software, recruitment and training time.
Will automation mean I never need to hire?
No. It can delay a hire or change which role you hire for. Once repeat work is automated, the person you hire can spend their time on work that needs a human.
How is end of service gratuity calculated?
Under Federal Decree Law No. 33 of 2021, non UAE nationals earn 21 days of basic salary for each of the first five years and 30 days for each later year, after one year of continuous service, capped at two years' total salary. Confirm details with an adviser.
