Holiday homes in Dubai: automate the guest messages that eat your team's hours
Where the hours go
Every booking brings the same questions: where is the building, how do I get in, what is the WiFi password, where do I park, can I check in early, when is checkout. A team managing many units can answer the same question dozens of times a week.
Example only: 30 arrivals a month × 12 messages each × 2 minutes per message is 720 minutes, or 12 hours a month of typing answers that never change.
The guest journey

| Arrival day | Access instructions, once your checks are complete | Yes, after checks |
| First evening | WiFi, house rules and how to reach you | Yes |
| Day before checkout | Checkout time and simple instructions | Yes |
| After checkout | Thank you and a review request | Yes |
| Any problem or complaint | A personal reply | No |
Build the answer library first
Before you automate anything, list the 20 questions guests ask most and write one approved answer for each, per property where it differs. This library feeds scheduled messages, saved replies and any AI assistant you add later. Without it, automation just sends inconsistent answers faster.
Access codes need a rule
Door codes and key box details are the one message where a mistake costs real money. Send them automatically only after your own checks, such as confirmed payment and completed guest registration, have passed. If a check fails, the message should go to a person instead.
Channels and their rules
Many booking platforms include scheduled messages, so check what yours offers before building anything. If you message guests on WhatsApp, the platform requires opt in permission, and messages you start outside 24 hours of the guest's last message must use approved templates. The details are in booking confirmations and reminders for UAE hospitality.
Keep these personal
- Complaints, damage and refund requests.
- Early check in or late checkout requests that affect another booking.
- Anything involving safety, access problems or a locked out guest.
- Repeat guests, where a personal message is part of the experience.
Measure it
Count messages typed per booking and minutes spent for one normal week. Repeat after automation. The difference, multiplied by your team's cost per hour, is what automation gives back. Method: the one week time audit.
