Property management in Dubai: automating tenant requests, renewals and rent reminders

Where property managers' hours go

  • Logging maintenance requests from calls, WhatsApp and email.
  • Chasing contractors and updating tenants on progress.
  • Tracking renewal dates across many units.
  • Reminding tenants about cheques and documents.
  • Building monthly reports for owners.

All of it is date driven and repeats every month, which makes it some of the easiest admin to automate.

Maintenance requests

  1. The tenant submits a request through one form or channel, with unit number, category and photos.
  2. A ticket is created with an owner and a priority.
  3. The right contractor is notified automatically.
  4. The tenant receives updates when the status changes, without anyone typing them.
  5. The ticket closes with notes and cost, ready for the owner's report.

The hours saved come from no longer relaying messages between tenant, manager and contractor.

Renewals and the 90 day rule

Dubai Law No. 33 of 2008, which amends Law No. 26 of 2007, says a party that wants to change the terms of a tenancy on renewal must notify the other party at least 90 days before the contract expires, unless they agreed otherwise. Eviction at expiry for reasons such as the owner's personal use or a sale needs at least 12 months' notice through a notary public or registered mail.

A practical schedule for each unit:

Before expiryReminder toPurpose
About 13 monthsOwnerDecide whether the property will be needed for personal use or sale
About 120 daysOwnerDecide on renewal terms
About 100 daysManagerPrepare and send any notice in time
About 30 daysTenantConfirm renewal steps and Ejari registration

For rent changes, check the official RERA rental index before deciding terms. This is general information, not legal advice.

Rent and document reminders

Where rent is paid in instalments or by cheque, send a reminder a few days before each due date and a confirmation when payment is recorded. Do the same for expiring documents your files depend on. Reminders stop automatically when the item is marked as done.

Owner reports

A monthly owner report can build itself from the ticket log and payment records: requests opened and closed, costs, payments received and upcoming dates. The method is the same as in automating the weekly report.

Keep these personal

  • Disputes and complaints.
  • Deposit decisions and move out inspections.
  • Rent negotiations.
  • Anything involving legal notices, which should be checked by a person before sending.

Questions people ask

How early should a Dubai landlord be reminded about a renewal?

Well before the 90 day notice point for changing terms. A reminder around 120 days before expiry gives time to decide, and an earlier reminder helps if the owner may need the property back, which requires 12 months' notice.

Can maintenance requests be automated?

Yes. Intake, ticket creation, contractor notification and tenant updates can all run automatically, with a person handling priorities and disputes.

Can rent reminders be automated?

Yes. Send reminders before each due date and stop them automatically when payment is recorded.

Does automation handle rent increases?

It can remind you to check the official RERA rental index in time, but the decision and any notice should be handled by a person.
